Our Youth Program Policies

EMBARK Learning Center is super excited about upcoming classes and other offerings. Each day will be full of new experiences, and best of all, lots of fun. To ensure all attendees and their parents get the best out of our sessions, we have policies to set expectations for everyone, and also to maintain a safe environment at all times.

Code of Conduct

We expect safe, caring, and respectful behavior from our students as well as our staff and anyone we interact with throughout the duration of every session. We request your support and compliance of our efforts to keep educational experiences safe and enjoyable for all.

EMBARK Learning Center encourages fun and friendship in a safe, positive environment, and has established these basic principles to reinforce appropriate behavior.

To further encourage positive behavior and respect for one another, we treat children with patience, respect, and consistency in addition to adhering to positive reinforcement. Our goal is to ensure children are responsible for what they say and do while maintaining a respectful and positive attitude.

Real and/or imaginary use of violence, threat of violence, and weaponry is also strictly prohibited.

Bullying

Our bullying policy is simple – it is not tolerated. Every student has the opportunity to have a positive experience where they can make new friends, develop skills, and expand horizons without negativity.

We take bullying allegations seriously and encourage open communication, so students feel comfortable to tell staff about any issues during their experience.

All consequences can be expected to be consistent with the behavior. It should also be understood that fighting, disrespectful behavior, biting, hitting, any type of harassment, and destructive behaviors are all grounds for immediate dismissal from any and all classes.

Phone, Photography and Electronics Policies

Communication occurs only between parents and staff. There is no electronic communication between students and staff.

Cell phones are allowed with the condition that they are only to be used to reach parents for necessary communication. If the phone or other mobile device becomes disruptive, it may be confiscated for the duration of the class or of the day during on-site sessions.

The following are not permitted during on-site sessions:

  • Trading cards, Pokemon cards, or other card games are not permitted.
  • Video games or hand-held consoles are not permitted.
  • Photography is strictly prohibited.


Lost & Found

Label all of your child’s belonging with their names as we will not be responsible for items that are lost or damaged while on-site. We will make every effort to help our students keep track of their things, but ultimately, it is their responsibility. Do not send them with anything you would not be okay with them losing or breaking.

Items that we strongly discourage include stuffed animals or any special items that are otherwise cherished by your children.

Payment Methods

All registrations are taken online only. We accept Visa, Mastercard, Discover, American Express, Venmo, Zelle, and PayPal.

Class Payment Dates

Full Payment is due at registration unless otherwise stated.

Discounts & Scholarships

Discounts are only available for on-site sessions and are dependent on the class in session. These options are on a case-by-case basis, so please email us at youthprograms@embarklc.com with any questions.

“Day of” or “Walk-Up” Registration Information

We do understand that occasionally, parents and guardians must need a last-minute solution for children to attend sessions, and as such, phone-in or email registration does not close until either all spots are filled or the first day begins. Please keep in mind that online registration closes two weeks prior to the start of class.

If you happen to find yourself in this situation and the class appears to be full online, you may contact us directly at youthprograms@embarklc.com to see if there were any last-minute cancellations that are not reflected in our online enrollment form.

Please understand that we cannot guarantee your child will have a seat in the scheduled session if our classes are sold out, but we will be happy to accommodate when we are able to do so.

Cancellations & Refunds

Due to the limited enrollment, there are NO refunds, with limited exceptions stated per class or session. You do have the following options:

  • Receive a credit that can be used to request a transfer to a different session at another time while classes are in session. This credit may be used for a period of one year from the start of your initial chosen class or program. If the class you choose to apply your credit to is greater than the amount of your credit, you will be responsible for paying the difference.

  • Cancel your enrollment before the two-week deadline and you will receive a 50% refund of the total amount paid. *This does not apply to last-minute registrations that occur within the final two weeks before the start of class*

Prorated Enrollment for Week-Long Camps

You cannot enroll for a partial week or session online. If you want to do so, you must contact us directly at youthprograms@embarklc.com for this request.


We understand that your student may not be able to attend the entire week and we are willing to work with you depending on the availability of the session you wish to have your child attend.

Prorated enrollment is available for 3, 4, and 5 days depending on availability.

Transferring from One Program to Another OR to Another Week

If you would like to transfer your child from one session to another, please email us at youthprograms@embarklc.com

There is no guarantee we can fulfill your request if that program is already sold out. As such, we suggest you request a transfer a minimum of two weeks before the projected start date. Even still, we can’t guarantee we will be able to fulfill a transfer request.

Completing On-site Student Health Forms, Identity Forms & Other Paperwork (ONLY applies to On-site programming and camps)

All students must complete and return the necessary forms in order to participate.

We adhere to all State requirements regarding student programs and camps, and so expect to have a completed health form returned for us to keep on file for the duration of any given session. These forms will be returned to you at the end of the program.

On-site students cannot attend without completed forms for their safety and ours.

Reporting Illnesses & Absences Due to Illness

ON-SITE ONLY: EMBARK Learning Center must be notified if your child is ill, especially if it is contagious. We follow the 24-hour fever-free, illness-free rule before your child can return, with an exception if you or your child have been exposed to COVID-19, in which case we will require a minimum of 14 days and will make every effort to transfer your child to a different week or session if possible.


If necessary, we will post a notice of contagious illness, respecting your confidentiality, to notify parents of all children possibly exposed to the illness.

If CAMP has already started, you will not be prorated or refunded for illness. If possible, you may be able to transfer OR qualify for a partial credit towards a different week or program. This will be on a case-by-case basis and can be discussed should the need arise.

Bully & Discipline Policy

We will use positive techniques to guide, use logical or natural consequences applied in appropriate situations, and redirection to appropriate and acceptable behavior with the intention of anticipating and therefore eliminating possible problems.

Students can expect consistent and clear rules established on the first day of class for each session.

We encourage recognizing and respecting each other’s feelings and space while encouraging cooperation, taking turns, teamwork, and constructive communication.

Please note that EMBARK Learning Center reserves the right to dismiss any student for consistent disruption and/or behavior that makes it difficult for the staff to meet the needs of other children within the group. This may happen after at least two other communications with parents regarding the issue, and warnings will be provided at that time.

Buddy Request/Friend Request

Class is always more fun with friends, so you can make buddy or friend requests during the registration process – just email us at youthprograms@embarklc.com to let us know once your seat has been reserved.

We will make our best effort to accommodate friends that want to attend sessions together, but we cannot guarantee it will happen if the class is sold out, so let us know as soon as you can.

Policies on Electronics, Toys, Trading Cards, Etc.

Here at EMBARK Learning Center, we work hard to prevent distractions from occurring so that the children can get the most out of their experience during class. As such, certain devices are not allowed, and others are allowed with conditions.

  • Video games, tablets, audio players, toys, and other distractions are not allowed.
  • Mobile devices like phones are allowed ONLY for contacting parents or guardians as necessary via text ONLY outside of an emergency. If mobile devices become a distraction, they will be confiscated, and parents will receive communication as to the nature of the incident.
  • Parents are welcome to contact your child via text ONLY at any point during the day. We request that you are respectful of our time as well as your child’s time so that they get the best experience to enjoy learning without distraction. *in the case of emergency, you can call your child at any point*

PARENTS: Please note that we are not responsible for any lost or damaged items your child brings to class.
